Must have experience interacting with and supporting C-Suite in the role of executive assistant, executive secretary, and/or executive receptionist.
Experience in customer service within the hotel and hospitality industry is a plus.

The Job
The Receptionist/Director of First Impressions will be responsible for ensuring a top-notch client experience that includes, but is not limited to:
Being the Voice and Face of the Firm –
Ensuring that the office common areas and conference rooms are always looking clean, sharp, warm and inviting;
Warmly greeting visitors by name (when possible) and serving as the firm concierge to maximize the visitor’s experience during their visit; and
Answering a multi-line telephone system in a cheerful and professional manner, determining caller’s needs and routing to the appropriate team member.
Being the Gatekeeper of the Office –
Receiving mail, deliveries and packages;
Filing or forwarding to the appropriate person all incoming mail, deliveries, and packages;
Helping with assigned administrative tasks related to client appointments;
Making deposits; and
Uploading all invoices to HubDocs.
Caretaker of the Team –
Proactively organize the files and documentation for the C-Suite and Attorneys’ daily client appointments/projects each morning;
Be available throughout the day to try and proactively find any opportunities to make the lives of the attorneys easier, so they can focus their time on the business and clients as efficiently as possible;
Maintaining team meeting calendars and the conference room reservation schedule;
Ensuring office equipment and supplies are adequately stocked;
Maintain firm email boxes and fax distribution; and
Assisting various departments with special projects as needed.
